Vikey getting started guide

I° Set-up Dashboard on my.vikey.it

First login on my.vikey

1.1 Login credentials

To access your personal dashboard, you need to go to my.vikey.com and enter the credentials you previously received by email.

The username is the email with which you signed in Vikey

The default password* is Vikey2018

*once you are logged in, go to your profile and change your password

1.2 Add method of payment

The first time you log into Vikey you will be asked to enter a payment method, you will be automatically redirected to the Payment Methods section

You can choose whether to enter a card or an IBAN (in the case of a bank account, you will need to send an email to [email protected] to request authorisation to enter it)

Remember to complete all required fields according to the method chosen:

After entering the method of payment, click on the associate flats button.

1.3 Add invoice address

The advice we give is to check that the billing address is correctly filled in.

Just go to the Administration section and click on Invoicing.

You can edit the address already entered or add a new one

Remember that if you add a new billing address, it will be important to click on the associate flats button in order to correctly associate this address with your flats

You can add several billing methods and associate each of them with a different flat.

Customize your apartment’s information

You can change the name of your property by customising it. To do so, simply go to Apartments and then click on your flat.

In the General section you can not only change the name of your apartment, but also enter the address of the property, your contact details and WiFi so that all this information is contained in your guest's check-in link.

Activate the integration of your PMS/CM/OTA with Vikey

If you use a channel manager, or an OTA (Booking, Airbnb) you can activate the direct integration in order to automatically import all your bookings from there into Vikey.

If you activate the connection you can choose whether you want to automatically send your guests an email requesting them to check in online or not.

First you will need to go to Administration in the left-hand menu and then select Integrations

1.1 Choose the integration from those available

Click on the add integration button and choose the channel to be connected to Vikey (scroll down to see all the integrations that can be activated)Follow the instructions that appear during the procedure

1.2 Activate the connection between channels

You will see the list of your room(s) but next to it the words No connection. This is because you have to associate your channel structure with the one in Vikey.

Click on a room profile in order to create the connection

1.3 Customize your integration

Now you have to click on Add Integration in order to complete the setting

Enter all required fields and then save.

Remember to enable the items send e-mail and send documents in order to activate the online check-in procedure and e-mail communication with guests

To import all bookings immediately, click on the Import Bookings button.

Reservations

1.1 Add reservation

Select the bookings item from the menu on the left and click on the new booking button in the top right-hand corner

  • select the flat from the drop-down menu

  • enter guest's name, surname and e-mail address
    the link with the open buttons will reach your guest by email

  • check-in date and hour / data e ora di check-out
    the indicated field is used to indicate the validity period of the opening link

1.2 Enable the communication via email

Remember to check the enable e-mail communication box, otherwise we will not be able to send e-mails to your guest.

You can choose whether to use our default email or a customized one created by you.

The other items you see are to enable or disable sending reminders to your guest to remind them to check in if they haven't already done so.

In addition, if you wish, you can tick the option to be in CC in sent emails so you don't lose track of them.

Notification on creation: the e-mail is sent to the guest as soon as the booking lands on Vikey;

Remind 7, 3, 1 day before arrival: sent if the guest does not complete the online check-in procedure after the first email is sent;

Mail of completed check-in one day before arrival: sent after the guest has completed online check-in and the host has confirmed the documents. This contains the link with the open buttons.

1.3 Set up online check-in request

Choose from the items listed which one to request to your guest:

- payment of accommodation tax through Vikey

- payment of sojourn tax through Vikey

- compulsory payments

In order to request payments, a connection to Stripe must first be made. If requested, payments will be made by the guest after uploading the documents during the online check-in procedure.

- sending of the documents (essential to request online check-in to your guest)

- signature of contracts (uploaded by you in the dashboard)

- invoice data of your guest

To request documents from your guest(s), it is important to tick 'send documents'.

Choose from the different entries whether :

  • request from your guest how many guests are in the reservation

  • request from the group leader only the front/back photo of the document

  • request from all your guests the front/back photo of the document
